Automated Final Settlements
2008 Tax Year 2008 tax collection year was a very quiet year, and when you are talking property tax, that is a good thing. With the new automated final settlement in place, counties are able to complete their final settlements in a much shorter time span and with many less problems or errors. Errors are trapped and found all through the year making final settlement a smooth operation.
A couple of our counties had notable final settlements this year: One went to Montgomery with a 78 cents balance due. On their trip home, they called us to report that the comptrollers office was able to locate the 78 cents for a final balance equaling ZERO. The amount in question was a commissions calculation which had been manually entered and extended from a lawsuit judgment relative to that county. Another County called our office to get some procedural instructions on running the final settlement and was actually completing the steps while talking to our help desk. He then asked "What does it mean if there are all zeros at the bottom of the page?"

2007 Tax Year As the 2007 tax year winds down, our windows counties are finding final settlement to be a much easier task! With multiple "troubleshooting" reports, most errors are caught and can be corrected before beginning the end of year balancing process. Information is compiled by the system and the State DFC-12 form is built and printed with data fields completed and totaled. Any adjustments which are specific to a particular county may be added or edited manually. (ie: mileage, motor vehicle tax, etc.) One of our counties using this system for the first time, mailed their final settlement report in to Montgomery and shortly thereafter received a call from the Comptroller's office congratulating them on their "best ever" final settlement.
Seven counties of the eight using this system for 2007 have settled with the State Comptrollers office as of July 24, 2008. Each balanced within pennies. Russell $0.00 Chambers $0.03 Macon $0.04 Covington $0.00 Marion $0.40 Pickens $0.01 Lowndes $0.00
